Invoice vs Quote: What Is the Difference and When Should You Use Each?
A quote and an invoice are not interchangeable. One helps you win the work. The other helps you collect payment.
What a quote does
A quote is sent before work starts. It outlines:
- the scope
- the price
- the timeline
- the main terms
Its purpose is to help the client review and approve the proposal.
What an invoice does
An invoice is sent when payment becomes due. It includes:
- invoice number
- issue date
- due date
- line items
- payment instructions
- total amount due
Its purpose is to request payment clearly and formally.
Best practice
Use quotes during the sales or approval stage.
Use invoices during the billing stage.
If possible, manage both inside one workflow so you can keep documents, clients, and project history organized.
